- When can I expect my next Management Review?
- Most Management Reviews occur within 11-13 months of the previous year's Management Review. Click here to get the scheduled date for your 2009/2010 Management Review
- When will I be officially notified of my Management Review?
- We will inform you via letter (referred to as the "60-day letter") of the Management Review approximately 60 days prior to the on-site review. The 60-day letter is sent to the owner, agent and property manager, and includes a request for a submission of documents prior to the on-site review.
- Can I reschedule my Management Review?
- Generally, we are unable to reschedule an on-site Management Review. We perform approximately 900 Management Reviews each year, and each Management Review must be completed within a specific timeframe to meet our contractual obligations with HUD. As a result, we are typically unable to change the date of the Management Review.
- Why do you request so much information prior to the Management Review?
- In order to facilitate an efficient on-site review, we attempt to complete as much of the Management Review as possible in our office prior to our on-site visit. In doing so, it is our intention to minimize the disruption to your staff's daily routine, as well as the amount of time we spend at your site.
- How long does the Management Review on-site visit usually last?
- This varies depending on the size of the property, number of tenant files that must be reviewed, as well as other factors. Generally speaking, most Management Reviews are completed within one day.
- What will be expected of me on the day of the on-site review?
- A representative of the owner/agent must be present. At a minimum this should include the property manager, however, we recommend supervisory/regional level management staff be present. The staff member will need to accompany our reviewer to the dwelling units that are reviewed, and should be able to answer any questions resulting from the tenant file audit. In addition, a comprehensive exit interview will be performed with the staff member to ascertain additional project information.
- When can we expect the Management Review Report?
- The Management Review Report will be mailed within 30-days from the date of the on-site visit.
- Can I appeal a Finding?
- No. However, we are always willing to consider additional information that may shed more light on your practices or policy questions. Please feel free to contact the Asset Manager who performed the on-site review. If necessary, their Senior Asset Manager or the Director of Asset Management may be contacted for further consideration.
- Can I appeal a rating?
- Yes, if you received a rating of Below Average or Unsatisfactory on any specific category, or on the overall rating, you may appeal your rating(s). Appeals must be submitted in writing to James L. Hargrove, President and CEO, and must be postmarked within 30 days of the date of the Management Review Report. The appeal must explain the factual basis for a change in rating, with specific examples provided. Mr. Hargrove will review the appeal and determine whether the rating(s) should stand or be revised. Appeals not received within the allotted timeframe will be denied. Note that the correction of valid deficiencies, which you do not dispute in your appeal, must not be delayed by your appeal. HUD Handbook 4350.01 Rev-1, Chapter 6 provides further guidance on the appeal process.
